Is it safe to use ChatGPT with a Microsoft Access database?

The copy-and-paste habit

A common shortcut is to export an Access table to Excel, paste it into ChatGPT, and ask the question there. It is fast. It also sends every row you pasted, including customer names, invoice amounts, and employee hours, to a service outside your office.

Many companies do not allow that, and for good reason. It is also limited: a chatbot only sees the rows you pasted, not the whole database.

How DatabaseAI is different

DatabaseAI uses AI to write the query, not to read your data. When you ask a question, the app sends the question and the names of the relevant tables and columns to OpenAI, using your own API key. The AI writes an Access SQL query.

The query then runs on your PC against your Access file. The rows, the values, and the answer are produced on your computer and are not sent to the AI or to us.

What stays on your PC

Your Access file. Every row and value in it. The answers, tables, charts, and Excel downloads. Your chat history. Your OpenAI key, which is saved only on that computer.

The DatabaseAI subscription only checks that your account is active. We never receive your database.

It cannot change your data

The app opens the database read-only and only runs SELECT queries. Even if a question is worded badly, nothing in the file can be edited or deleted.
